Sampling KYC files without drowning your operations team
A practical way to choose file samples that reveal real onboarding risk instead of producing an unmanageable spreadsheet exercise.
KYC sampling fails when teams pull the neatest thirty files or the newest ones. Examiners and diligent partners both look for the awkward middle: older SME onboarding, cross-border customers, and files opened during a staffing crunch.
Our readiness reviews begin by agreeing a sampling frame with compliance and operations together. That conversation alone often reveals whether file storage can even support an audit for fintech onboarding quality.
A workable sample shape
For a mid-sized remittance firm, we often mix retail and SME files across three months, then add a small purposeful set of previously escalated cases. The goal is not statistical perfection; it is to surface whether checklists survive contact with incomplete documents and time pressure.
Protect operations
Give operations a clear window for pulling files and anonymisation rules before fieldwork day. A messy store is not a moral failing — but pretending the store is tidy wastes everyone’s week. One client noted that our first week felt slow until the archive was sorted; the scorecard that followed was usable precisely because we waited.
